How to build an ad swipe file you actually use

In short

  • A swipe file dies when saving costs more than searching again. Lower the cost of saving and the habit sustains itself.
  • Name files date_brand_number. It sorts itself and needs no tooling.
  • Always save the three pieces together: creative, copy and landing page. Any one alone is useless a month later.

Almost every media buyer has a folder called «references» or «swipe» full of loose screenshots nobody ever reopened. That is not a discipline problem: the system had more friction than value.

A swipe file works when you can answer «what are competitors doing in vertical video with a discount offer?» in under a minute. Otherwise it is a screenshot graveyard.

Why swipe files die

The naming convention

One rule, and it solves 80% of the problem:

MM_DD_YY_BRAND_NN.ext — for example 07_22_26_NORTHPEAK_01.mp4

Why it works: the date first makes your operating system sort chronologically on its own; the brand in the middle lets you filter by typing it in search; the trailing number handles same-day duplicates. No app required: it behaves the same in Finder, Drive and Dropbox.

The folder structure

Organise by angle, not by brand. The angle is what you reuse when you have to produce; the brand is metadata that already lives in the filename.

  1. /social-proof — testimonials, UGC, on-screen reviews.
  2. /offer-price — discounts, bundles, free shipping, urgency.
  3. /problem-solution — the classic before/after and demos.
  4. /pure-product — packshots, detail, build quality.
  5. /landings — destination pages, as PDF and dated.

Five folders. If you need a sixth, you are probably saving too much.

What to save from each ad

Do not research «when you need ideas»: by then you are in a hurry and you will copy the first thing you see. Block a fixed 20 minutes weekly, review 5 to 8 competitors and save only what has been live for over a month.

That last filter is what keeps the swipe file small and useful: if it survived a month of spend, something is working. If it launched yesterday, you know nothing yet.

How many ads should a swipe file hold?
Fewer than you think. Between 50 and 150 well-chosen, well-named references beat 800 unsorted screenshots. The value comes from being able to find things, not from hoarding.
Should I sort by brand or by angle?
By angle. When you need to produce, you search for «video testimonial», not «ads from brand X». The brand is already recorded in the filename.
Are screenshots good enough?
Only as a last resort. You lose quality, motion and audio, which is exactly what you need to analyse in a video creative. Save the original file whenever you can.
